Terms and Conditions for the use of Le Carrelot (La Fermette and/or Le Chai) Avezan

Prices and Payment: Prices are fixed in Sterling for your convenience. We require a deposit of 20% of the total rental cost at the time of booking. You may either pay by cheque or make a direct deposit into our Barclays account in France. If you chose the latter, the deposit and remaining cost of the holiday, including damage deposit, would be converted from Sterling into Euros at the rate of exchange for the purchase of Euros published on the Internet by Thomas Cook at the date of each invoice.  Cheques should be made payable to Nicola Gregory and sent to Grey Lodge, Whitesmocks, Durham DH14LH.

Confirmation of Reservation: Upon receipt of the booking form and 20% deposit, we will send you a confirmation letter or email. This is our formal acceptance of the booking. Please check the details and advise us within seven days of any inaccuracies. It is understood that the person making the booking will be deemed to act on behalf of all members of the party. 

Final Payment: Details for the final payment will appear on your invoice and the balance must be paid in full not later than eight weeks before the first day of the rental period. If the balance is not received by us by this time, we will be entitled to cancel the booking without prejudice to our claim for cancellation charges, namely the non-refundable booking deposit paid. For bookings made within eight weeks of the start of your holiday, the full cost of the holiday should be paid at the time of booking.

Included in the Price: Gas, electricity and hot water are included in the weekly rate for accommodation, as well as the supply of bed linen and bath towels. The cost of cleaning after your stay is also included. For guests staying 2 weeks, the house will be lightly cleaned, bed linen and bath towels changed, and the pool cleaned on or around the middle Saturday. Pool towels are also supplied. All guests have exclusive use the swimming pool and grounds of Le Carrelot during their stay, with the exception of guests using Le Chai in isolation out of peak season.

Visitors: The accommodation is for the use of guests named on the booking form only. Visitors are not permitted to stay overnight except by prior arrangement with the owners.

Damage Deposit: A returnable damage deposit of £400 is payable at the time of  final payment. This is to cover the cost of any damage, breakages or loss suffered to the property or its contents during your stay. We are reasonable people and understand that accidents do happen. Please let us know if anything happens so that we can resolve it in time for the next guests. We will endeavour to refund the damage deposit within one week of your departure; however, please note that it can take time to sort out such charges and breakage costs and, should they apply, the damage deposit will be held until the process is completed.

Arrival/Departure Times: Accommodation is available from 4pm on the first Saturday of the booking until 10am on the final Saturday. It is most helpful if you are able to advise us in advance of your approximate time of arrival.

Cancellation: If you wish to cancel a booking, you should advise us by telephone and confirm the cancellation in writing which should be signed by the same person who signed the booking form. Cancellation will take effect on receipt of this written confirmation. In all cases of cancellation the deposit will be forfeit. If the cancellation is made after the final payment is due, you are liable for the full cost of your holiday. We will, however, use our best endeavours to re-let and, if successful, will refund the cost of the holiday minus the deposit.

It is recommended that you have personal travel insurance, including cancellation insurance for medical reasons, redundancy, jury service etc. for all members of your party.

Your responsibilities: You agree to allow only those named on the booking form to occupy the accommodation. The bringing of pets onto the property is not allowed. No camping is permitted on the property grounds. You undertake to leave the accommodation and all its furnishings and effects in the good order you found it in. You also undertake to advise us of any missing or damaged items and of any damage to the property and to reimburse us for such loss or damage. We reserve the right to terminate the let immediately if these conditions are breached.

Our responsibilities: We will do our utmost to ensure that the accommodation is satisfactory and enjoyable and take care to maintain the property. We, our staff and agents are not liable for any loss, injury or claim of any kind arising out of, or in connection with staying at, or traveling to and from Le Carrelot for you or any member of your party. We do not accept responsibility for happenings or actions outside our reasonable control, such as breakdown of domestic appliances, plumbing, temporary invasion of pests, acts of insurrection, industrial disputes, floods or other events amounting to ‘force majeure’. Similarly we do not accept responsibility for breakdown in the supply of water or electricity, nor of the swimming pool filtration system. We will however use our best endeavours to arrange for such problems to be resolved as speedily as possible. We will take the greatest care in the preparation of the information presented to you and make every effort to ensure accuracy. Please note that the use of Le Carrelot, its facilities, grounds, and swimming pool are entirely at the users’ risk.

Acceptance of Booking Conditions: By payment of your deposit, you acknowledge that you have read these Conditions and that you accept them without reservation or exception.
